These terms govern all bookings made with Otao Kitchen. By proceeding with a booking, you agree to comply with these Terms and our associated Privacy Policy and Terms of Use. Otao Kitchen reserves the right to amend these Terms at any time without prior notice.
1. BOOKINGS AND PAYMENTS
1.1 All bookings must be paid in full at the time of reservation. This confirms your participation and secures your place in the event.
1.2 Bookings are non-transferable unless agreed in writing by Otao Kitchen.
1.3 Payments are processed securely through trusted third-party platforms.
1.4 By booking, you consent to the collection and use of your personal information for service fulfilment, communication, and internal administration.
2. GIFT VOUCHERS AND CREDIT NOTES
2.1 Vouchers and credit notes are valid for three (3) years from the date of issue.
2.2 They are non-refundable and not redeemable for cash.
2.3 Extensions may be granted under exceptional circumstances and may incur an administrative fee at Otao Kitchen’s discretion.
3. PRIVATE, CORPORATE, AND GROUP EVENTS
3.1 A deposit of 50% may be requested at the time of booking, with the balance due 14 days prior to the event.
3.2 Final guest numbers and dietary requirements must be confirmed at least 10 days in advance.
3.3 The final invoice will reflect the confirmed or actual number of guests, whichever is greater.
3.4 During the festive season (November–December), full payment is required to secure dates for private, corporate, or group events.
4. RESCHEDULING AND CANCELLATIONS BY GUESTS
4.1 Rescheduling more than 14 days before the event: One complimentary reschedule is allowed. Any subsequent date change incurs a $49 per person fee.
4.2 Rescheduling within 14 days of the event: Requires a valid medical certificate and incurs a $49 per person rescheduling fee.
4.3 Rescheduling within 7 days of the event: Requires a valid medical certificate and incurs a $78 per person rescheduling fee.
4.4 No refunds or reschedules are available under the following circumstances:
a) Late arrival or failure to attend (no-show)
b) Voluntary departure after class commencement
c) Departure due to illness, injury, or bereavement
4.5 Participants are advised to obtain appropriate travel and medical insurance to cover unforeseen disruptions.
4.6 If you are unwell and unable to attend, you may send someone in your place.
4.7 Guests who are not unwell are expected to attend as booked.
5. CANCELLATIONS BY OTAO KITCHEN
5.1 Otao Kitchen reserves the right to cancel or reschedule classes due to low enrolment, chef unavailability, venue disruption, or other unforeseen circumstances.
5.2 Affected participants will be offered a full refund, class credit, or transfer to another session.
6. LATENESS POLICY
6.1 Participants must arrive at least 10 minutes before the class begins.
6.2 Late arrivals cannot be accommodated once the session has started.
6.3 Classes commence on time and we cannot repeat safety briefings or demonstrations.
6.4 No refunds or reschedules are offered for late arrivals, regardless of prior notice.
7. DIETARY REQUIREMENTS
7.1 We cater to most dietary requirements with at least 10 days’ advance notice.
7.2 While we strive to accommodate individual needs, we cannot guarantee that all allergens (including nuts, gluten, and dairy) will be avoided or may not be present in our recipes or environment.
8. HEALTH, SAFETY & INSURANCE
8.1 For safety reasons, all participants must wear closed-toe, non-slip shoes and dress appropriately for a kitchen environment.
8.2 Long hair must be tied back, and excessive jewellery that poses a safety or hygiene risk must be removed.
8.3 We strongly advise participants, especially those travelling, to obtain personal health, accident, and travel insurance.
8.4 Otao Kitchen is not responsible for injury, illness, loss, damage, or theft unless caused by proven gross negligence.
8.5 Alcohol is only served to guests aged 18+ with valid ID. Responsible consumption is expected.
8.6 We reserve the right to refuse participation to guests who are unwell, intoxicated, or pose safety risks. No refunds will be provided.
8.7 All accidents or incidents must be reported to staff immediately. We may request a report for insurance/legal purposes.
9. LIABILITY & INDEMNITY
9.1 To the maximum extent permitted by law, you agree to release, indemnify and hold harmless Otao Kitchen, its staff, agents, and affiliates from all claims, liabilities, losses or damages arising from:
Your participation in classes or activities
The consumption, handling, or storage of food or beverages
Any breach of these Terms and Conditions
9.2 In any event, our total liability is limited to the amount paid by you for the relevant booking.
10. FORCE MAJEURE
10.1 Otao Kitchen shall not be held responsible for any delays, changes, or cancellations caused by events beyond our reasonable control, including but not limited to acts of God, natural disasters, epidemics, pandemics, fire, floods, terrorism, labour strikes, or government actions.
10.2 In such cases, affected bookings will be rescheduled to a future date. Refunds will not be issued for cancellations due to force majeure.
11. FEEDBACK & COMPLAINTS
11.1 We value feedback. Please raise concerns with staff during your session or contact us by email within 14 days.
11.2 We aim to respond to written complaints within 7 business days.
11.3 For offsite or travel-based events, notify your host or event manager immediately so we can resolve issues on the spot.
12. DATA COLLECTION AND USE
12.1 By booking, you consent to the collection and use of your personal data—including your name, contact details, and payment information—for the purposes of managing your booking, delivering services, and ensuring event safety.
12.2 We may also use de-identified data for internal analytics and service improvement.
12.3 Your information may be shared with third-party service providers (e.g. payment processors) in accordance with our Privacy Policy.
12.4 We do not sell your personal data and take reasonable measures to ensure its protection.
13. COMMUNICATION AND MARKETING
13.1 By making a booking, you agree to receive service-related communications, including confirmations, reminders, or class updates.
13.2 You may also receive occasional marketing updates, special offers, or newsletters, which you can unsubscribe from at any time via your account preferences or the unsubscribe link in emails.
14. PHOTOGRAPHY AND MEDIA CONSENT
14.1 Photography and videography may take place during events for promotional use.
14.2 By attending, you consent to the use of your image unless you explicitly opt out before the session begins.
15. WEBSITE AND DIGITAL CONDUCT
15.1 Your use of our website and booking platforms is subject to our Terms of Use and Privacy Policy.
15.2 We reserve the right to modify, suspend, or terminate online services at any time.
15.3 We are not responsible for content on external websites linked from our platforms.
16. AMENDMENTS TO TERMS
16.1 Otao Kitchen reserves the right to update these terms and conditions at any time.
16.2 Continued use of our services constitutes acceptance of any changes.
16.3 The most current version is always available on our website.
17. JURISDICTION
17.1 These Terms are governed by the laws of the State of Victoria, Australia.
17.2 Any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.
18. DISCLAIMER
18.1 Participation in cooking classes or events at Otao Kitchen is voluntary and involves risks (e.g. heat, knives, allergens).
18.2 By attending, you acknowledge and accept these risks and release Otao Kitchen from liability to the extent permitted by law.
18.3 Otao Kitchen does not guarantee specific outcomes or results from any class or experience.
